Chair Job Description

As the Membership Chair:

  1. Is the immediate past President or, in alternate years, shall be appointed by the President.
  2. Shall preside over a committee of at least three, including two other Club members, who are appointed by the President to prepare a slate of candidates.
  3. Shall follow the Membership Proposal procedure below:
    1. A proposed candidate’s name and qualifications shall be submitted in writing or electronically by the nominating member to the Membership Chair by April 15. A second letter of endorsement shall also be submitted in writing or electronically during that timeframe.
    2. A member of the Board of Directors may not propose a candidate but may second a nomination.
    3. A member may propose one candidate and second only one candidate each year.
    4. A member may not propose or second a candidate of the member’s immediate family.
  4. Shall follow the Election of Member Procedure below:
  5. The Membership Chair reads aloud the proposal and seconding letters for each candidate at the April board meeting.
  6. Discussion follows the close of the reading.
  7. The proposed slate of new members is voted on either by ballot vote or voice vote, depending on the preference of the Membership Chair.
  8. The Membership Chair provides a list of names and addresses to the Corresponding Secretary who then writes letters of invitation to the new members, requesting a response within two weeks of the letter’s receipt. Should the candidate decline the invitation, quickly follow up with the next listed person who was not in the first round of invitees.
  9. If there are delayed responses to the invitation from the Corresponding Secretary, the Membership Chair should follow up with the proposer or seconding proposer, to determine the candidate’s status.
  10. The Membership Chair should notify the proposer of the acceptance of the candidate and request that she both host the new member at the Annual Meeting, and mentor her throughout the first year.
  11. The Membership Chair provides a corsage for each new member at the Annual meeting, and presents and welcomes the new members to the Club at the meeting.

 

As the Nominating Chair:

  1. Preside over a committee of at least three other members, including the President.
  2. Prepare a slate of officers for election by majority vote of the membership at the Annual meeting according to the following procedures:
  3. The Nominating Committee shall meet in late October or early November.
  4. Each committee member shall be provided with a list of active members and the committee positions each has held. Members must be in the Club for two years to be eligible for a Board position.

iii. Most, but not necessarily all, calls to the prospective nominees shall be made by the Chair. The Chair should explain in great detail the responsibilities of the position, the term of length, required attendance at Board meetings and provide any other relevant information.

  1. After all calls are made and acceptances received, the Chairperson shall prepare and present a single slate of candidates to the Board of Directors for approval before May 1 for inclusion in the Club Yearbook.
  2. The Chair shall present the approved slate at the Annual Meeting to be voted on by the membership.

As the Bylaws Chair:

Review the Bylaws, Policies and Rules of Procedure every three years as recorded in the Bylaws milestones, and the Standing Committee descriptions annually, with each Chair, or when deemed necessary by the Board of Directors.
